This Privacy Policy explains how Innovation Peer Inc. collects, uses, discloses, retains, transfers, and protects personal information when you use our websites, applications, automation project tools, supplier lookup features, project intake workflows, document generation tools, review workflows, communications, and related services. This policy is intended to address Canadian privacy obligations, including PIPEDA, and to provide additional information for users in other jurisdictions where applicable.

Scope
This Privacy Policy applies to personal information we handle through the Services.
It does not apply to third-party websites, suppliers, service providers, integrations, or platforms that have their own privacy policies.
If you provide personal information about another person, you represent that you have authority to do so and, where required, have provided notice or obtained consent.
Summary
Innovation Peer helps industrial teams structure automation project information before supplier conversations.
Project information is private by default. We do not contact suppliers or share non-public project files with suppliers unless you approve it, unless disclosure is required by law or necessary to protect rights, safety, security, or prevent misuse.
Our tools may use AI-assisted processing, automated rules, and structured calculations. AI-assisted outputs are preliminary and require human review.
Account and contact information
This may include:
- name
- business email address
- phone number
- job title
- company name
- department
- work location
- login credentials or authentication identifiers
- communication preferences
Organization and project information
This may include company name, facility location, industry, production process descriptions, automation challenges, pain points, operational constraints, staffing assumptions, production volumes, cost assumptions, capital planning inputs, supplier preferences, project documents, notes, comments, and review requests.
Some project information may include personal information, such as names of employees, contact details, job roles, shift details, or information about workplace operations.
Supplier information
If you use or contribute to Supplier Lookup or supplier-related features, we may collect or display supplier company name, website, public contact details, capabilities, industries served, geographic coverage, project roles, publicly available company information, supplier-submitted profile information, and user-submitted corrections or notes.
Files and user content
You may submit files, images, videos, drawings, specifications, spreadsheets, notes, or other materials. These may contain personal information or confidential business information.
Do not submit unnecessary personal information or sensitive employee information.
Usage and device information
We may collect:
- IP address
- device type
- browser type
- operating system
- pages viewed
- referring pages
- time and date of visits
- feature usage
- error logs
- performance logs
- approximate location derived from IP address
- cookies and similar identifiers
Communications
We may collect information from emails, forms, calls, meetings, support requests, survey responses, and other communications with us.
Sensitive information
Do not submit sensitive personal information unless it is necessary for the Service and you are authorized to provide it.
Sensitive information may include government identifiers, financial account numbers, health information, biometric information, union membership, precise employee performance information, disciplinary information, or other information that may create heightened privacy risk.
Do not submit classified information, export-controlled technical data, defence information, regulated safety incident records, or third-party confidential information unless Innovation Peer has expressly agreed in writing to handle that category of information.

We may collect information directly from you; from your organization; from other users associated with your organization; from suppliers; from publicly available sources; from service providers; through cookies and similar technologies; and from integrations or tools you connect to the Services.
How we use information
We may use information to:
- provide, operate, secure, and improve the Services
- create and maintain accounts
- authenticate users
- create and update Automation Project records
- generate project assessments, summaries, document packages, and exports
- provide AI-assisted drafting, classification, structuring, and analysis
- calculate preliminary economics and project assumptions
- support Innovation Peer review workflows
- respond to support requests
- communicate about projects, accounts, services, security, and updates
- manage supplier lookup information
- prepare supplier-sharing materials when approved
- prevent fraud, misuse, security incidents, and unlawful activity
- troubleshoot bugs and improve performance
- analyze aggregate usage and product effectiveness
- comply with legal, regulatory, tax, accounting, and recordkeeping obligations
- enforce agreements and protect legal rights
- send marketing communications where permitted by law and consent
Consent and legal bases
In Canada, we generally collect, use, and disclose personal information with consent, except where permitted or required by law. Consent may be express or implied depending on the sensitivity of the information and the circumstances.
Where the GDPR, UK GDPR, or similar laws apply, our legal bases may include contract or pre-contractual steps for providing requested Services; legitimate interests or legal obligations for security and fraud prevention; consent or legitimate interests for service improvement and analytics depending on jurisdiction; consent or legitimate interests for marketing where permitted; and legal obligation for compliance.
AI-assisted processing
We may use AI systems, automated rules, templates, structured calculations, and related technologies to process project information and generate outputs.
AI-assisted processing may be used to classify automation challenges, suggest solution pathways, summarize intake information, structure Automation Project records, draft project assessments, draft supplier-preparation materials, identify missing information, support internal review, and improve product functionality.
We do not intend AI-assisted outputs to be final engineering, safety, legal, procurement, financial, or investment advice.
We do not use AI-assisted outputs to automatically contact suppliers or automatically select suppliers for you without approval.
You should not submit information to AI-assisted tools unless you are authorized to do so.
Supplier sharing
Project information is private by default.
- We will not intentionally share non-public project information with automation suppliers or delivery partners unless you approve the sharing; sharing is required to provide a Service you requested; sharing is required by law, legal process, or a regulator; sharing is necessary to protect rights, safety, security, or prevent misuse; or the information is de-identified, aggregated, or no longer reasonably identifies you or your organization.
- When supplier sharing is approved, we may share selected project information with selected suppliers or delivery partners for project review, scoping, qualification, or response.
- You control what is shared and when, subject to technical functionality and legal requirements.
Supplier Lookup
Supplier Lookup may include public company information, supplier-submitted information, or Innovation Peer-curated information.
If supplier information contains personal information, we may use it to provide supplier lookup, supplier profile, qualification, verification, communication, and related business features.
If you believe supplier information about you or your organization is inaccurate or should be removed, contact us.
Service providers
We may disclose information to service providers that help us operate the Services, such as cloud hosting providers, database providers, authentication providers, analytics providers, AI processing providers, email and communications providers, customer support tools, payment processors, security and monitoring tools, and professional advisors.
Service providers may process information only as permitted by contract and applicable law.
Business transfers
We may disclose or transfer information in connection with a merger, acquisition, financing, reorganization, sale of assets, bankruptcy, or similar transaction. If this occurs, we will take reasonable steps to protect personal information as required by applicable law.
Legal, security, and compliance disclosures
We may disclose information where we believe it is reasonably necessary to comply with law, legal process, court orders, subpoenas, or regulatory requests; enforce agreements; protect Innovation Peer, users, suppliers, or third parties; investigate fraud, misuse, security incidents, or unlawful activity; prevent harm; or establish, exercise, or defend legal claims.
Marketing communications
We may send service-related communications without separate marketing consent where permitted by law, such as account notices, project updates, security alerts, legal notices, and transactional messages.
We will send commercial electronic marketing messages only where permitted by applicable law. Canada's anti-spam rules generally require consent, sender identification, and an unsubscribe mechanism for commercial electronic messages.
You can unsubscribe from marketing messages at any time. We may still send non-marketing service or legal communications.
International transfers
Innovation Peer is based in Ontario, Canada. We and our service providers may process and store information in Canada, the United States, the European Economic Area, the United Kingdom, or other jurisdictions.
These jurisdictions may have privacy laws that differ from those in your location.
Where required, we use contractual, organizational, and technical safeguards for cross-border transfers.
Retention
We retain personal information only as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide the Services, maintain Automation Project records, support customer accounts, preserve project history and document versions, comply with legal obligations, resolve disputes, enforce agreements, protect security and prevent misuse, and maintain backups.
When information is no longer required, we will delete, de-identify, aggregate, or archive it in accordance with applicable law and reasonable business practices.
Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, use, disclosure, alteration, and loss.
No system is perfectly secure. We cannot guarantee absolute security.
If you believe your account or information has been compromised, contact us immediately.
For Quebec-related obligations, businesses may need to assess confidentiality incidents, reduce risks, prevent recurrence, keep incident records, and notify the regulator and affected individuals where a serious risk of injury exists.
Your privacy choices and rights
Depending on where you live, you may have rights to access personal information we hold about you; correct inaccurate information; withdraw consent subject to legal or contractual limits; request deletion; request portability; object to certain processing; restrict certain processing; opt out of marketing; and lodge a complaint with a privacy regulator.

We may need to verify your identity before responding. We may decline or limit requests where permitted or required by law.
Canada and Quebec residents
Canadian residents may contact us to ask questions or file a privacy complaint.
Quebec residents may have additional rights under Quebec's private-sector privacy law, including rights related to access, correction, confidentiality incidents, privacy governance, and certain transparency obligations.
EEA and UK residents
If GDPR, UK GDPR, or similar laws apply, you may have additional rights, including access, rectification, erasure, restriction, objection, data portability, withdrawal of consent, and complaint to a supervisory authority.
We may process your information as a controller or processor depending on the context. Where we process information on behalf of an organization under a separate agreement, that organization may be the controller and Innovation Peer may be the processor.
California and other U.S. residents
If California privacy law applies, California residents may have rights to know, delete, correct, opt out of sale or sharing, limit use of sensitive personal information, and not be discriminated against for exercising privacy rights.
Innovation Peer does not currently intend to sell personal information in the conventional sense. If we engage in activities that are considered selling or sharing under applicable California law, we will provide required notices and opt-out mechanisms.
Residents of other U.S. states may have similar rights where applicable.
Children
The Services are not directed to children. We do not knowingly collect personal information from children. If you believe a child has provided personal information to us, contact us and we will take appropriate steps.
Third-party links
The Services may link to third-party websites, suppliers, resources, or platforms. We are not responsible for their privacy practices. Review their policies before providing information.
Changes to this Privacy Policy
We may update this Privacy Policy from time to time. The updated version will be posted with a new Last Updated date.
If changes are material, we may provide additional notice where required by law.
